1.1 Breach Warning (Pink Slip)
A breach warning will be emailed or distributed to the athlete or their parent every time a policy has been broken to ensure athletes, spectators and parents are held accountable for their actions and are adequately notified.
1.2 Breach Notice (Orange Slip)
If the same policy is broken again on a separate occasion, a breach notice will be sent informing parents of the continued breach.
1.3 Final Breach Notice (Red Slip)
If the same policy is then breached for a third time, a final notice will be sent. This Final Notice will be their third and final warning. This notice will have to be signed and returned within 7 days. If this same policy is breached again at any time throughout the year, it could lead to instant termination of membership with all fees paid forfeited.
Infinity Athletics reserve the right to terminate a membership at any time, with fees paid forfeited. Memberships will be terminated instantly if parents or athletes put our athletes in unsafe position. If dismissed from the club due to breaches of our policies a mid-year withdrawal fee will be charged.

No Running in the Gym
Follow coach’s instructions:
Enter the gym and use equipment when and how instructed by your coach.
Respect others at ALL times.
(Bullying of any form will not be tolerated, keep your hands to yourself & always use your manners – bad attitudes will also not be tolerated in the gym).
No phones in training all personal items are to be kept in lockers during training.
No food or chewing gum in the training area and keep the athlete’s kitchen and areas tidy and respectable.
Water only on the training floor.
No entry to the training area is permitted unless invited in by a coach at the start of the lesson. All athletes must wait outside the gate ready for class.
No leaving the training area until class has been dismissed or permission has been granted by a Coach.
No athletes are permitted behind the reception desk under any circumstance. This is a staff only area.
Athletes may bring a piece of fruit or HEALTHY snack if they train for more than 3 hours in one day. Their snack must be healthy otherwise they will not be permitted to eat. They will be given 5 minutes to eat.

To ensure that spectators enjoy the sport of cheer & dance and behave in a manner that is productive for the participant’s training as well as appropriate when representing Infinity Athletics at all events, the following policy applies:
1. Respect coaches and officials’ decisions at training and events

3. Focus on participating, reducing the emphasis on winning.
4. Encourage children to always play by the rules.
5. Do not criticize athletes or coaches in front of others, but reserve constructive criticism for more private moments.
6. Remember children learn from example. Applaud a good routine from all teams.
7. Set a good example by your own conduct, behaviour and appearance.
8. Swearing, negative conversations, and racism will not be tolerated.
9. Drinking of alcoholic beverages or use of drugs while representing Infinity Athletics in any way will not be tolerated.
Training sessions are CLOSED for Elite Teams and Tumble Classes Silver & above.
We find our athletes train much more effectively without distractions. Parents are welcome to wait outside on the chairs provided.

3. Competition Cheer & Dance is a full year commitment from January to December.
4. Encourage children to always play by the rules.
5. Routine & Level Changes: Throughout the season coaches will make changes to routines for a variety of reasons. Athletes should expect this and be prepared for their roles within a routine to change. Coaches and management also reserve the right to change a team’s competitive division during the season. This includes moving a team up or down a level.
6. Great sportsmanship is required at all times. Applaud a good routine from all teams

7. Set a good example by your own conduct, behaviour and appearance.
8. Abusive behaviour including but not limited to bullying, on-line bullying, negative language by athletes directed at a fellow athlete, coach, parent, official or competitor will not be tolerated.
9. Great time management is expected. Although school is the #1 priority, homework/tests and studying are not valid excuses to miss training.
10. We will not accept anything that undermines the culture of Infinity Athletics. Whether that be gossiping, a child coming in and spreading negativity to and around other athletes, or a parent coming in and spreading negativity to and around other athletes. Concerns can always be brought up by booking a meeting with coaches or management but being a negative influence that spreads attitudes that are not conducive to learning and improvement is unacceptable.
11. Drinking of alcoholic beverages or use of drugs while representing Infinity Athletics in any way will not be tolerated.
If any of the above occurs in person or over social media/online, it will be grounds for instant dismissal from the program.

We want to ensure the safety of all our members. Therefore, it is important that all members under 12 be accompanied into and out of the building by a parent or guardian. Children cannot be left alone in the carpark before class and we encourage members not to loiter in the car park area.
In the event that a member has not been picked up at the end of class, they MUST wait in the reception area and notify their coach.
Please notify the club if you are going to be more than 5 minutes late for pick up (please text the club phone – 0452547300). Also, please notify the club if someone different will be picking your child up (please text the club phone – 0452547300).
If more than 10 minutes late to pick up your child we reserve the right to charge a late pick up fee of $70.00/hour. If a regular occurrence, membership may be terminated.
Children are not permitted to wait in reception for extended periods of time while other classes are on as we do not have staff members available to suitably supervise them.
Gym Opens at the Time of the First Class of the Day.
Gym Closes 5 minutes after Last Class of Day.

RECREATION TEAMS:
Kinder Cheer & Dance, Intro to Cheer & Dance, Tumble Classes
No policy applies, please complete the absence form to let us know you will be away.
COMPETITIVE TEAMS:
Semi-Competitive & Elite Teams
Cheer & Dance is a team sport and relies on athletes attending all classes to be a successful and fully competitive team all year round. Even one athlete absent affects the whole team and their ability to train. Elite Team attendance expectations are high due to the investment of time and money our members make into these teams and how reliant we are on all team members to attend to be successful.
ABSENCE FORM
An Absence Form must be filled in for every absence. By not giving your team the courtesy of informing them of the absence appropriately (through the provided form), this does not meet our values of being Kind and hinders the team. An INSTANT Pink Slip will be given to those who fail to fill in an Absence Form.
APPROVED ABSENCES
If you receive approval for your absence, no disciplinary action will occur from the absence, however, regardless of the excuse, absences can still affect the team.
School Camp - Minimum of 6 Weeks Notice & Submitted via Absence Form
Contagious Illness - Minimum 2hrs Notice with a Doctors Certificate & Submitted via Absence Form
School Events that Affect Grades - Minimum 6 Weeks Notice with a letter from the school & Submitted via Absence Form
UNAPPROVED ABSENCES
Elite Teams Only: 3 Unexplained or Unapproved Absences will result in a Pink Slip. We ask that you gain approval for an absences by providing the required notice or a medical certificate. If you receive a Red Slip, we will have to reconsider your position in an Elite Team.
Injuries or Illness - We ask that athletes still attend class to watch, or do light activities depending on the extent of the injury/illness. If a prolonged injury or illness that extends more then 3 weeks, please arrange a meeting with your coach to discuss options.
Social Gatherings/Parties/Non-Grade Dependant School Events - These are considered unapproved absences. You need to ensure you understand when committing to a team you may have to make sacrifices when it comes to theses types of events.
Study - Athletes need to take responsibility for managing their time, this is not an excusable absence reason.
Holidays - That we are not made aware of at the beginning of the season will not be approved. We leave the first week of each School Holidays free for families.
BLACKOUT PERIOD
Blackout Period – athletes must attend all team classes in the 3 weeks prior to a competition, or their spot may be changed. Absences will not be approved during these times. I understand that coaches have the right to remove a member from performing at a competition if they miss a team practice within the Blackout Period or if an athlete misses an excessive amount of practices prior to a competition. During Blackout weeks, any missed practices may result in either the athlete not being able to compete or being moved to a different position in the routine. When this happens, the athlete will be put back into the routine at the most convenient time deemed by the coaching Staff. Understandably, the athlete may NOT return to their previous roles/ spots/formations in order to keep transitions and changes the simplest for the entire team. No competition fee refunds will be provided for missing a Blackout Week practice.

ELITE TEAMS, INTERMEDIATE & ADVANCED SEMI-COMPETITIVE TEAMS NOTIFIED AT THE START OF SEASON
If notified at the start of the season that you cannot attend a competition;
You will need to have a coach find a fill in for you to keep your spot, and you will be responsible for covering the cost of the fill in (competition fees). Otherwise, we will rearrange the routine to not have you in it, but you will not have a spot to come back to.
You will still be required to attend all training sessions leading up to the competition that you are here for, to ensure you practice your spot for when you return.
Being absent for a competition may impact other competitions that are close together as athletes need ample time training together prior to competition.
Being away for competition may affect what spots we can give you in the routine. We need to give you a spot that can be easily taken out or is easy to pick up for fill ins.
BEGINNER SEMI-COMPETITIVE & SEMI-COMPETITIVE DANCE TEAMS NOTIFIED AT THE START OF SEASON
We will make it work without you as long as more then 10 weeks notice if given and you do not miss more than 1 competition of performance in the year.
NO SHOW AT COMPETITION
If you do not show up to competition and have not provided a doctors certificate more than 4 hours prior to your performance time, this will lead to instant removal from the team. You will not be permitted to compete in a Competitive Team at Infinity Athletics for the foreseeable future. If unwell and unable to compete, Infinity Athletics must be notified immediately and a doctors note must be provided as soon as possible.

1. All members (including parents) must at all times be a strong representative of Infinity Athletics and a positive reflection of the club and never talk poorly of any other child, parent, coach, gym, etc.
2. The Infinity Athletics name or any variations cannot be used in any social media user names, email address, social media pages, group chats or on any other platforms.
3. The Infinity Athletics name, any variations of the name or logo cannot be used or reproduced to make merchandise of any kind.
4. Our main form of communication is through the BAND App.
5. Group chats – the Infinity Athletics name as well as team names cannot be used in any unofficial group chats. We may decide to put together a group chat with all team members that will be monitored by Infinity Athletics, if we are not part of the group chat, it is not an official chat and we take no responsibility for any incorrect information relayed or any negative events that could occur. We strongly advise against unofficial group chats to avoid misinformation, confusion or any negative behaviour that can occur in an uncontrolled environment.
6. Bullying of any shape or form will not be tolerated especially on social media, if anyone is found to be saying negative things about others or our club, it could lead to instant dismissal.
7. If you would like to speak to the club director or your child’s coach, please either send your concerns in writing via email or arrange a suitable meeting time with them (this can be arranged via email).

TERM FEE/TUITION REFUNDS
Class Cancellation:
If a class is cancelled by the club a make-up class will be offered, or the class will be rescheduled. If in the case a make-up class cannot be offered and the class cannot be rescheduled your account will be credited.
Approved Absences:
No refunds will be issued, however, an application for a credit or refund may be submitted, in writing, to the club director if illness or injury extends for more than two weeks. Any such claim must be accompanied by a medical certificate. In case of injury, the athlete may need to produce a written clearance to continue training by a doctor. If you are unable to attend your class to inform your coach, please text or email us as soon as possible.
Unapproved Absences:
Inability to attend due to an unacceptable absence during a scheduled class will not entitle the family to a refund or credit at any time. If you are unable to attend your class to inform your coach please text or email us as soon as possible (5 weeks in advance is appreciated).
Ceasing at our request:
• If the club discontinues a program the members’ term fees account will be given a pro rata adjusted credit or refund for the balance of fees.
• If the club withdraws a position, or requests a member be removed from a program due to breaches of the policies and procedures outlined within our policies, all fees paid will be forfeited and their account must be settled within 10 working days.
Voluntary Withdrawal:
No refunds will be given as this is considered a “change of mind”.
CLOTHING & MERCHANDISE REFUNDS
No refunds or credit will be given for merchandise or clothing purchased or ordered within the club, unless the item breaches the Australian Consumer Laws (faulty, damaged, etc) and we have been notified within 7 days of purchase of the fault. If the item cannot be fixed or we cannot offer an equivalent replacement we will offer a refund or credit.
Please ensure you order the correct size when purchasing merchandise as it is all custom ordered and cannot be exchanged.
COMPETITION FEES REFUNDS
Competition costs are non-refundable in the event of injury, sickness, dismissal, non-attendance of classes by the athlete or discontinuation of training. Infinity Athletics is not responsible for reimbursing travel expenses, competition fees or term fees to an athlete who is injured, sick, moved or dismissed from a team. If you voluntarily withdraw your child from the team no refunds will be given as this is considered a “change of mind”.
MEMBERSHIP REFUNDS
Ceasing at our request:
If the club withdraws a position, or requests a member be removed from a program due to breaches of the policies and procedures outlined within our “Policy & Procedure Manual”, all fees will be forfeited and their account must be settled within 10 working days.
Voluntary Withdrawal:
No refunds will be given as this is considered a “change of mind”.

APPLICABLE TO ELITE TEAMS ONLY
Due to cheerleading being a team sport, committing to the team for the entire year is very important. By leaving mid-year it affects the entire team not only physically within their routine but financially.
Possible Costs incurred due to an athlete leaving mid-season:

Re-Choreographing Routine
Choreographer $500-$2,000
4 – 6 hours Training Time $40-$60 per athlete
Custom Music Changes due to routine change
$50 - $150.00 per hour
Extra Training
2 – 6 hours $20-$60 per athlete
Leaving mid-year is a large setback for a team as every person’s position within a team is important. We expect athletes to commit to their team for the entire year.
Athletes that leave the team voluntarily after their team’s choreography date in March 2025 will be charged a $250.00 exit fee to assist in covering the costs for the above fees we may incur.
If an athlete is asked to leave their team due to policy breaches after their team’s choreography date in March 2025 they will be charged a $250.00 exit fee.
This charge is up to the discretion of Infinity Athletics.

Athletes are to wear their Black Membership Shirt & Black Shorts OR any of our Infinity Athletics branded Merchandise, to training sessions.
Jewellery, watches and accessories cannot be worn during our classes. Hair must be ties back out of children’s faces.
SHOES
Shoes are not required as we like to make the sport affordable for families, but please wear socks.
If you would like to wear shoes though:
Cheer - Cheer shoes available from reception or dedicated cheer classes only white laces ups from kmart/big w.
Dance - Slip On Black Jazz Shoes. These can be purchased on ebay or from a local dance store.

What is an incident?
An event that occurs that is considered unreasonable or unsafe to the person/s it has affected.
Examples:
Reports of bullying or violence,
A matter requiring a formal discussion,
A matter that has upset a client or employee,
Complaints,
Harassment, or;
Anything that a client feels needs to be reported to management.
PROCESS
STEP 1: Report Incident
We prefer that these reports are done in writing via the online form provided to ensure we have all of the required details about your exact concerns.
STEP 2: Response
After submission we will respond with either a written response or to arrange an in person meeting to discuss the situation further. A response will be provided within 48hrs.
We encourage our staff and clients to let escalated incidents sit with them for 24 hours before a response to ensure emotions are not brought into their response. Please understand that this is the best option to get the best results for both parties.
